Document editing

The document editing functionality allows users to change the content, metadata, and related elements of a document, as long as the document has not been closed, signed, or archived. Use of this functionality depends on your organization's configuration settings. The purpose of this functionality is to enable up-to-date and accurate management of documentation.


What can you edit?

Users with the appropriate rights can edit:

  • Document metadata (e.g. title, document type, date, reference, description, keywords, ...)
  • Main document content (replacing the file, editing text)
  • Attachments and enclosures (adding, replacing, or deleting attachments)
  • Links to other elements (cases, clients, contracts)
  • Notes and comments (adding additional information or instructions)

Editing procedure

  1. Find the document you want to edit. If the document is in process with you, or the document's settings allow editing by users who have access to it (configuration options depend on your organization's settings), then
  2. Open the document and click "Edit".

  1. Make the desired changes:
    • correct the metadata,
    • replace or upload new content,
    • add or remove attachments.
  2. When finished, click "Save".

The changes will be recorded in the audit trail.


Audit trail

A change to a document is recorded in the system and includes information about:

  • the time of the change,
  • the user who made the change,
  • the content of the change.

This ensures traceability and an overview of the document's history. Configuration options depend on your organization's settings.


Editing restrictions

Editing is not possible when the document is:

  • already signed (e.g. via mSign),
  • closed or archived,
  • in the approval or signing process, without first interrupting that process,
  • if additional configuration settings have been established for your organization.
