Audit trail

The audit trail enables traceability of actions performed on a document, case, or other entities in the system (attachments, email, invoice line items, etc.). Its main function is to ensure transparency, security, and legal compliance. The available settings depend on your organization's configuration.


What is the audit trail?

The audit trail is a chronological record of changes and activities performed by users in the system, including:

  • viewing a document,
  • editing metadata,
  • replacing content or attachments,
  • changing document status (e.g. closing, signing, archiving),
  • changing access rights,
  • creating or deleting documents, attachments.

The available settings depend on your organization's configuration.


What is recorded?

For each activity, the following information is recorded in the audit trail:

Audit trail - Metadata

Displays all changes to the document's metadata, including who made the change, when it was made, and what the old and new metadata values were. It also includes information about any related documents that were added (e.g. adding Related documents to documents in the Incoming invoices module).

Audit trail - Attachments

Includes information about any attachments that were added (e.g. adding attachments to documents in the Incoming invoices module). Information is recorded about who added the attachment, when it was added, its size, version, name, and format.

Audit trail - Email

Audit data on any emails sent on the document (e.g. on the document or when sharing document attachments). Information is recorded about who sent the email, when, who the recipient is, and whether the sending was successful.

Audit trail - Invoice line items

Displays added or changed values in the Invoice line items fields, where the audit trail shows who added or changed the data, when, the operation, the field, and the old and new value.


Where can you view the audit trail?

  1. Open the document or case for which you want to see the change history.
  2. Click the tab or button "Audit trail", "Change history" — the available options depend on your organization's configuration.
  3. A list of all activities is displayed, sorted by time (usually from the newest to the oldest).

Who has access to the audit trail?

  • The audit trail is accessible to users with the appropriate rights. The available settings depend on your organization's configuration.
  • Settings allow users to see only their own activities, rather than the entire document history. The available settings depend on your organization's configuration.
