General Functionality of Modules
Managing Document Lists
Every module includes a document list that provides various features for better clarity and accessibility:
-
Search and sort: Users can search by columns and sort documents according to various parameters, making it easier to find specific documents.
-
Using filters:
- Setting up a filter: Users can create and save filters for frequently used search criteria. To do this, after selecting and sorting by a particular column, click the filter button, enter a filter name, and save it. This allows quick switching between different filters without having to re-enter search criteria each time.
-
List configuration:
- Users can customize the display of the document list by hiding or showing columns, setting the number of records per page, and choosing the default sort order for documents.
More about document lists can be found in the chapter > Document List
Detailed View and Document Management
When a user selects a particular document, a detailed view of that document opens:
- Expanded view: The document view can be expanded for a better overview of its content.
- Management toolbar: Buttons are available above the document that allow various actions, such as including the document in a workflow, editing, deleting, and other functions that vary depending on the module.
- Changes and favorites:
- Users can review the document's change history.
- Users can save a document as a favorite, which allows quick access to it directly from the dashboard.
These features are designed to improve the user experience when working with documents and to ensure efficient management of information within the system.
Adding References Between Documents via Reference Fields
A document can establish references to another document in a different module — for example, on an incoming invoice document, selecting the corresponding contract in the Contract reference field creates a direct link from that incoming invoice document to the relevant contract. The options for configuring reference fields and establishing references between documents across different modules depend on the configuration for your organization.
